Artivate will prepare a contract and invoice which detail program information, fees, allocated grant funding, payments, due dates and contract terms. Please review this information carefully, sign and return a copy of the contract with your deposit, as required. If any of the information contained within the contract or invoice is incorrect or you need to change program dates or times, please contact us immediately.
Payments are accepted in the form of check, money order made payable to Artivate and mailed to PO Box 11242, Takoma Park, MD 20913. Contact Christina Walton at 301-588-7525 x 105 or email@example.com to make payment by credit card or EFT.
Artists are not permitted to accept payment.
Artivate requires a deposit of 20% of program fees plus payment of the $15 administrative fee after the contract is issued. This fee and your signed contract are generally due about two weeks after your contract is issued. Please let us know if you cannot pay a deposit before we issue your contract.
Final payment is generally due 7 days after the program end date. Please let us know if you need additional time to send payment before we issue your contract.
Program fees listed on Artivate’s website and in our brochure are for daytime school programs. Please contact us or evening, weekend, and non-school programs fees. Additional workshop or residency options, including after-school and professional development programs, may be available — contact us for pricing and information.

A new fee to Artivate presenters, each contract now includes a $15 administrative fee. This fee helps to offset the administrative costs associated with providing services and meeting the needs of our presenters.
Some workshops and residency programs include materials costs in their program fees, while others require a separate materials fee. Materials fees – mot often assessed for visual arts programs – are based on factors like project scope and the use of consumable materials, and are communicated during the scheduling process.
Travel fees apply to most programs and vary by artist. Travel fees may be a flat fee or a fee based on mileage to program locations.
Occasionally, additional fees, including instrument cartage or a “show change” fee, may apply to your contract. If these fees apply, they will be communicated to you during the scheduling process. Please let us know if you have questions about any fees included on your contract and invoice that you do not recognize.
Force majeure. If Artist or Presenter is unable to fulfill the terms of this contract due to illness, inclement weather, or other legitimate conditions beyond their control (“force majeure”), Artivate, Inc. and Presenter will make their best efforts to reschedule the same or mutually agreed upon replacement programming within the current fiscal year (July 1 – June 30). If Artivate, Inc. and Presenter cannot reach agreement on the new date(s) and/or time(s), the programming will be cancelled and any payments (less the Administrative Fee) will be refunded to Presenter.
Cancellation or Modification. Changes to this contract must be agreed by both parties and made in writing. Cancellation must be made in writing.
By Presenter. If Presenter cancels within 14 days of scheduled programming for reasons other than force majeure, Presenter will endeavor to schedule the same or mutually agreed upon replacement programming on the scheduled date(s) or new date(s). If Presenter and Artivate, Inc. cannot reschedule or find a substitute for the programming within the current fiscal year (July 1 – June 30), the programming will be cancelled, and Presenter will be charged a Cancellation Fee equivalent to 20% of Program Fees in addition to the Administrative Fee.
By Artist. If Artist cancels programming within 14 days of scheduled program date for reasons other than force majeure, Artivate, Inc. will endeavor to schedule the same or mutually agreed upon replacement programming on the scheduled date(s) or new date(s).
